Donor Relations Administrator

Position: Donor Relations Administrator
Shifts: Part-time position (10 – 20 hrs/week) with possibility of full time
Wage: Commensurate with experience
Location: The work will be performed remotely with occasional meetings at PWRC sites or other locations as required.

Description: The Donor Relations Administrator is responsible for managing relationships with current and past donors. This includes developing and implementing strategies to maintain and grow donations from existing donors. The Donor Relations Administrator is also responsible for creating and implementing stewardship plans to ensure that donors receive appropriate recognition and communication for their contributions.

Key Responsibilities:

  1. Donor Stewardship:
    • Develop and execute comprehensive donor stewardship plans.
    • Ensure timely and accurate acknowledgment of donations, including personalized thank-you letters, receipts, and follow-up communication.
    • Create and maintain donor recognition programs, including naming opportunities, honor rolls, and donor appreciation events.
    • Mailing out donating letters to all donors twice a year (Spring and Winter).
    • If time permits, responding to finders on current animals in care and soliciting for donations towards its care.
  2. Donor Cultivation:
    • Build and maintain strong, lasting relationships with donors through regular communication, meetings, and personalized interactions.
    • To identify opportunities for donor engagement and involvement in the organization’s activities and events.
    • Provide regular updates to donors on the impact of their contributions.
    • Rebuilding relationships with lapsed donors.
  3. Donor Recognition:
    • Coordinate and execute donor appreciation/recognition events (luncheons, talks, booths, etc).
    • Develop and distribute materials that highlight donor impact, such as newsletters, annual reports, and social media content.
    • Manage donor recognition programs, ensuring consistency and adherence to organization standards.
  4. Data Management:
    • Maintain accurate and up-to-date donor records in the organization’s donor database SUMAC and forwarding donor info to newsletter editor.
    • Prepare reports: weekly reports, monthly Board reports on donor relations activities, recognition efforts, and outcomes.
    • Tracking down Paypal donors for their addresses for tax receipts
    • Inputing CanadaHelps database into Sumac and acknowledging their donations. Ensure they are receiving the newsletter.
    • Analyze donor data to identify trends and opportunities for improved engagement.
  5. Collaboration:
    • Collaborate with other departments to ensure donor-centric approaches across the organization.
  6. Fundraising Support:
    • Assist with the development of fundraising campaigns and initiatives, providing insights on donor preferences and expectations.
    • Participate in the planning and execution of fundraising events and activities.
  7. Compliance and Ethics:
    • Ensure that all donor relations activities are conducted in compliance with relevant laws, regulations, and ethical standards.
    • Protect donor confidentiality and manage sensitive information with discretion.
  8. Any other duties assigned by President or Board of Directors.

Qualifications:

  • Education: Bachelor’s degree in Nonprofit Management, Communications, Marketing, Public Relations, or a related field.
  • Experience: Minimum of 3-5 years of experience in donor relations, fundraising, or a similar role within a nonprofit organization.
  • Skills:
    • Excellent communication, interpersonal, and relationship-building skills.
    • Strong organizational skills and attention to detail.
    • Proficiency in CRM software and donor management systems.
    • Ability to work collaboratively in a team environment.
    • Creative thinking and problem-solving abilities.

Working Conditions:

  • Part-time position with the possibility of full-time, with occasional evening or weekend work required for events or meetings.
  • May require occasional travel to meet with donors or attend events.

  • All programs, materials, and conceptual ideas developed under this employment agreement are the property of the PWRC.
  • As such, all written materials, computer files, databases, and other documents created and accumulated under this agreement, must be delivered to PWRC in a timely manner upon termination of employment.
